White Paper Content Management
White paper content management coordinates the gathering and use of materials within white papers (content control). This includes references, images, word processor document revisions and production documents.

Text Revisions - The white paper development process may result in multiple versions of text which may range from an initial outline to versions that have been reviewed and edited by experts and people who match the audience profile. The white paper usually starts as a basic outline to which text is added and, over time, there may be several reviews and approvals. It is important to have an agreed file name revision system or confusion over which edits should be applied to specific versions may occur. A simple system of adding and updating a number to the file usually works well. If white paper development team members do not follow the file naming process (someone adds _temp_work_in_progress to the end of the file), the project manager may fail to rename the file revision to the appropriate file name and inform the contributor of the change.

Images - Images usually start in sketch form, and are then transformed into computer generated diagrams by an illustrator. Any changes from the creator (such as the subject matter expert) are then performed. The process may begin with the inclusion of a figure tag and title in the draft white paper. The sketch may be mailed, faxed or scanned and sent to the illustrator. A sketch and image may be identified using a name that includes the project code along with the title of the diagram. If the white paper will include the use of photographs that come from another company, authorizations and licenses may need to be obtained. References - References are resources that are used to add text or provide credible sources of information to the document. References may be cited in the white paper to allow readers to see the source that was used to create the document, adding credibility and providing additional reference materials.

Editing Reviews - White papers may go through several types of reviews including technical review (by subject matter expert), marketing review (by marketing manager), and various market test reviews (such as alpha and beta reviews).

Technical reviews may be performed to ensure the white paper contains accurate information. Multiple subject matter experts (SMEs) may be asked or hired to review the white paper. Technical reviews may be performed after editorial changes have been made. Sometimes small changes in wording can have a dramatic impact on the actual meaning of the text. It is highly recommended to have the SME do a final review before the white paper is released

A marketing review may be performed to determine if the content will engage the reader and to identify locations that are suitable to insert response channels (contact information, links to resources).

An alpha review is the first stage of a review process which is usually performed by the in-house staff or contractors. The typical number of Alpha review participants is 1 to 5. It is helpful that some of the alpha review participants come from the target reader segment.

Beta review is used to confirm reader value and response types to media items or content. Beta testing is usually performed by friendly customers or affiliates of the manufacturer or developer who are derived primarily from the target audience segment.

Production Documents - Production documents are files that are ready for distribution and use. There may be multiple versions of production documents which can include different branding options (different sponsors) and various types of access protection (printing allowed/not allowed), and some versions may require passwords for the reader to access the document.
